What this notice covers
This notice explains how we handle personal information about people who visit our website, contact us, are referred to us, or work with us as clients, advisers or partners. It does not cover information we handle inside a client’s business while delivering our services; that is covered by the terms of each engagement.
Information we collect
- When you contact us: your name, business name, email address, phone number, your role, and anything you tell us in your message, email or call.
- When we work together: contact details and business correspondence for client, adviser and partner contacts, and the information needed to agree terms and invoice for our services.
- From other people: contact details and background shared with us by an adviser, investor or other contact who introduces you to us.
- From public sources: business information from sources such as Companies House, company websites and LinkedIn.
How we use it, and why we’re allowed to
- To respond to your enquiry and discuss whether we can help. This is in our legitimate interests in running our business, and yours in getting a response.
- To agree and deliver our services and manage our relationship with you. This is necessary to take steps towards, or perform, a contract with you or your business.
- To keep business and financial records as the law requires. This is necessary to comply with our legal obligations.
- To keep in touch with business contacts with occasional, relevant updates. This is in our legitimate interests in developing our business. You can opt out at any time by replying to any message or emailing us.
We do not sell your information, and we do not use it for automated decision-making or profiling.
Who we share it with
- Service providers who help us run our business, including our website host and form provider (Netlify), our email provider (Microsoft), and Google, which supplies the fonts used on this website.
- Our own professional advisers, such as accountants, lawyers and insurers, where needed.
- Other advisers or partners, but only with your agreement, for example when making an introduction you’ve asked for.
- Regulators, law enforcement or others where the law requires it.
International transfers
Some of our service providers store or process information outside the UK, including in the United States. Where this happens, we rely on recognised safeguards such as UK adequacy regulations (including the UK–US data bridge) or approved contractual terms, so your information remains protected.
How long we keep it
- Enquiries that don’t lead to work together: up to 2 years after our last contact.
- Client records: up to 6 years after the end of our engagement, to meet legal, tax and insurance requirements.
- Business contacts we keep in touch with: until you ask us to stop, or the information is no longer relevant.
Keeping it secure
We use reputable providers, secure passwords and access controls to protect your information, and only keep what we need.
Your rights
You have the right to ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, and to ask us to transfer it to you or someone else. To use any of these rights, email info@neonpartners.co.uk. We will respond within one month.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
